“As a technology provider, it is our job to help enterprises digitally transform and meet the demands of their younger workforce. We anticipated this shift in workstyles years ago and underwent our own digital transformation in order to drive and support other businesses in doing the same.”
Security priority
At the same time, security remains a priority for Ricoh and its customers.
“Security is fundamental to managed document services – just as IT security is crucial for all enterprises. It is absolutely vital that confidential documents and client information is never exposed to potential risks. As workstyles become more mobile, it is becoming even more important that enterprises have the right systems in place to stay secure.”
“The amount of data being produced and stored by organisations has exploded and document security will minimise the likelihood of potentially costly data breaches. We work with healthcare providers, government bodies, financial services firms, legal firms – a host of customers that store private, sensitive data. So security must be and is a core part of our business.”
When it comes to managed print services, print companies have to take on board the concerns of their customers if they want to secure their business and according to Philip Brady, country manager for Canon Ireland, that means keeping up with trends as they emerge.
“Managed print services have matured to match the pace of expanding device capabilities and protections to facilitate the drive for digital transformation, but most enterprises are coming around to the fact that printing is here for some time yet,” he said.
Ensuring compliance
The shift from paper-based to digital documentation brings all sorts of new challenges. How best do you ensure compliance of documents in the way that they are stored, shared and secures?
“It’s about how you make the right information available to the right people, in the right format, at the right time. The office printer isn’t just the device in the corner any more — it’s now a multi-function device,” said Brady.
“Utilising an MFD to scan seamlessly to a document management system is now a vital component in keeping businesses moving. These devices need to be integrated into the wider network of devices and platforms that people use and this can sometimes be overlooked.”
Under the GDPR regulations, an MFD sitting on a desk becomes a possible source of a data breach as careless practices could see data being exposed or lost.
“Unauthorised access to files can potentially be very damaging. Unmanaged printing practices can also result in employees picking up confidential documents from the printer tray,” said Brady.
“The fact is that over 70% of organisations have at least one data breach annually as the result of unsecured printing. From May 2018 as part of the GDPR regulations such data infringements could carry severe penalties.”
