Two trends
“Many organisations do not have the expertise or resources to manage and optimise their print environment” Philip Brady, Canon Ireland Canon Ireland: Philip Brady, director
I would see two trends changing print services.Managed Print Services: Tablet and other mobile devices have transformed the way we communicate. Canon are global leaders in Managed Print Services (MPS) with around 20% market share in Europe and double digit growth last year. MPS is the primary model for how vendors provide office printing/services to large customers. Printing costs on average are 3% of organisations revenue. Many organisations do not have the expertise or resources to manage and optimise their print environment. A properly structured MPS can save an organisation up to 30% of printing costs and free up time and resources to concentrate on their core business.

Our MPS offers:
• Single point of contact – which gives customers a quicker issues resolution and simplifies print management of hardware and software
• One contract- no hidden surprises as all costs for maintenance and management are clearly highlighted
• Cost savings – we can save our customers up to 30% on print costs
• Less printer and environment footprint – which meets the bottom line both financially and ecologically
• Energy savings – nothing is wasted and you only use what you need
• Greater transparency and cost control
• Better security – Provides traceability for every document from the time it arrives in the post room to when it is processed, with better tracking and adherence to compliance demands.
Document Management: Canon now deals with a documents and processes involving documents. Today, we have developed solutions for document management. Many documents that we print or use are part of an extended process, for e.g. purchase to pay, quality management, HR files etc. Canon Ireland helps customers optimise their document and business processes with a broad range of professional business services and solutions.

Print shift
“The solutions are intelligent, integrating with Active Directory, existing workflow management utilities such as SharePoint and secure integration of mobile devices” Ger_McGarrigle_Ergo_web Ergo: Ger McGarrigle, technical consultant IDS
Clients are more aware than ever that document and workflow management, when not managed correctly can lead to inefficiencies in resources and negative end-user experience. Secure “Pull Print” solutions with the “right fit” multi-function device (MFD) are the most influential offering from print providers today. This combination of software and hardware offers far more than just secure print when integrated correctly. These solutions are intelligent, integrating with Active Directory, existing workflow management utilities such as SharePoint and secure integration of mobile devices. MFD’s/printers will not copy, scan, fax or print without the authentication of the end users ID card, increasing efficiency and providing the client with a higher level of security along with structured analytical and trending reports.

Print jobs are easily accessible from any printing device via a single print queue, scanning to SharePoint, email or a “home folder” can be pre-populated and securely locked to the authenticated user’s destination through the use of their ID card. Automatic purging of non-collected print jobs, along with rules such as forcing applications to print in mono and duplex rather than colour and simplex adds to cost savings. Tracking of this data provides the customer with powerful reports that gives them back control over their print and document managed workflows.

We are now seeing a shift in MFD and printing technology from LaserJet to Ink based printers. Traditionally Ink based printers have had a stigma of higher running costs in comparison to LaserJet. However these new devices are more energy efficient and have a faster page per minute speed than its LaserJet counterpart. This shift in technology will have a definite influence on the market today and in the future.

As a trusted Managed Print Services provider Ergo have the ability to deliver an extensive portfolio of solutions to achieve right-fit within our clients print environment.

True integration
“MPS providers now need to build parallel strategies and solutions that allow the customer to leverage their content management applications, Sharepoint solutions, cloud implementations, HR and accounts payable processes” John Jones, IPS IPS: John Jones, solutions division manager
When we discuss print as a legacy function, the major challenge that MPS providers face when building a value proposition to clients is how we make MPS contracts truly integrate. More and more we need to focus not on traditional sales strategies of cost per page and follow-me print solutions, but on understanding the client’s ICT strategy, paper based processes and how MPS can intersect with these functions.MPS providers now need to build parallel strategies and solutions that allow the customer to leverage their content management applications, Sharepoint solutions, cloud implementations, HR and accounts payable processes. We have completed the rationalisation strategies using standard MPS methodology, we now need to ensure that future MPS projects are truly integrated, not isolated.

Historically our MPS contracts dealt specifically with business rationalisation, security and standardisation. Although this has delivered key savings to our clients, the end user experience of printing, scanning and copying has not changed significantly. Users require more and more “business relevant functionality” delivered onto MFP’s in the form of easy to use Apps. Using applications like Lexmark Solution Composer, we can now map the required business process, build the App that reflects the business process and deploy onto multiple devices from a cloud based management solution. This mirrors the cloud strategies of our SME and enterprise clients in that no large scale IT infrastructure is required.
